Important ... Applying for promotion, transfer, and nomination requests for faculty members are automatically made through the employee's portal 

 

Applying for academic promotion, transfer, and inclusion in permanent service is done by instructors online through their employee portals.

Documents needed for employment (the appointment process):

-Recommendation of the department including the memo signed by all members attending the meeting.

-Recommendation of the faculty including the memo signed by all members attending the meeting.

-The adopted form of data relating to all applicants and their qualifications filled out according to the required standards and criteria.

-The selection form comparing all applicants filled out according to the required criteria showing the reason for selecting one applicant rather than the rest.

-A list of the names of instructors specialized in the field of the applicant and their teaching loads.

-A list of the names of those sponsored by the university in the same field of the applicant and the date expected for completing their studies.

-Employment form filled out and signed by the applicant according to the required administrative procedures and supported by copies of documents showing university degree and any other required paper work.

-The employment announcement either appearing online or in official newspapers.

-List of the names of all applicants as prepared by the Human Recourses Unit.

-Equivalency certificate (If needed)

*Documents of Joint Appointment (Employment)

-Application form filled out by the applicant showing his/her competency and suitable academic qualifications.

-Recommendations of the councils of two departments and faculties signed by all attendees.

-Teaching loads in both departments.

-Appointment statement.

-Documented scientific production (published research)

-Registration in the national data base for researchers

 

Renewal of Employment Contract:

 

-Statement of employment at the university

-Renewal form

-Teaching load in the department

-Students’ evaluation in the last two semesters

-The Annual achievement report for the teaching faculty members.

-Joint report of both the head of the department and the faculty dean

-Certificate of University Teaching/Educational Qualification workshop

- Equivalency certificate (issued by the ministry of Higher Education and Scientific Research) if needed.

-Documented scientific production (published research)

-Registration in the national data base for researchers

-A statement from Human resources unit showing the end of employment contract date

- Filling out the form assigned for workshops held by the Studies, Consultation & Community Service Center.

-Recommendation of the department including the memo signed by all members attending the meeting.

-Recommendation of the faculty including the memo signed by all members attending the meeting.

 

Documents of Transferring from Full-time Lecturer to Assistant Professor or Confirming Assistant Professor Appointment:

-Statement of appointment at the university

-Certificate of University Teaching/Educational Qualification workshop

-Joint report of the concerned Head of department and faculty dean

-Annual achievement report for the teaching faculty member.

-Documented scientific production

- Registration in the national data base for researchers

-Preparing syllabi for two courses at least (This includes course description, objectives, distribution of content, evaluation procedures, exercises, activities and revision).

-A research project approved by the Scientific Research Council as well as a report showing its completion in addition to a statement showing the approval of supporting the research project according to the required procedures.

- A report prepared by dean evaluating three classes given at different times or giving two seminars in the instructor’s area of specialization approved by the councils of the department and faculty. Another option is giving one seminar and the evaluation of one class. Evaluations of classes and seminars are done according to certain assigned forms.

-Students’ evaluations for two semesters and comparing them.

- Equivalency certificate (issued by The ministry of Higher Education and Scientific Research) if needed.

- Copies of the C.V  both in English and Arabic after being approved by the head of the department and the dean.

--Recommendation of the department including the memo signed by all members attending the meeting.

-Recommendation of the faculty including the memo signed by all members attending the meeting.

In addition to the points mentioned above, the following documents will be required if the applicant meets the condition of providing scientific research papers:

-Providing two published or accepted for publication research papers in journals approved by the university.

-Providing the Administration Office with a copy of the journals (if possible) or indicating the impossibility of doing it.

-The report of the committee in charge of the application in the department and its recommendation. (This must be prepared according to the assigned form).

 

-The report of the committee in charge of the application in the faculty and its recommendation. (This must be prepared according to the assigned form).

- A list of published research according to the assigned form (As in a reference list).

-A list of academic journals according to the assigned form in addition to full information about their indexing in databases (Thomson Reuters, Scopus, Ulrich).

- A list of the research papers presented for previous academic promotion if the applicant is applying for full professorship.

-Six copies of the approved research papers with a list of the published research and copies of the applicant’s C.V both in English and Arabic added to each one of them.

- A (CD) including copies of the applicant’s C.V in both English and Arabic, a list of published research  (As a reference list) and  e-copies of all papers presented for promotion.

-A statement by the dean, the head of the department and the applicant asserting that the scientific production (published research) is extracted neither from the applicant’s MA nor Ph. D theses.

- A list includes names of 20 reviewers working in different universities abroad, confidentially signed by the dean and the head of the department and including the following:

1-Full names of reviewers and their official email addresses rather than their personal ones.

2- A reviewer has to be a full professor.

3- A reviewer must be working at a university different from the one where the applicant obtained his/her MA or Ph. D degree.

4-A reviewer must be of the same field of specialization as that of the applicant’s.

- Copies of MA and Ph. D dissertations.

-One original copy of each journal the applicant published his/her work in or explaining the impossibility of providing it/them.

-Applicant’s employment record (Personnel file) according to rules.

-A statement from the Human Resources Unit indicating the applicant’s finishing the minimum duration of employment toward eligibility for the intended academic promotion.

-Students’ evaluations of all courses taught by the applicant over the last three years.

-A list of the courses relating the applicant’s area of specialization taught by him/her.

-Annual achievement report of the applicant (instructor) prepared according to the assigned form.

-The joint annual achievement report prepared by the head of the department and the faculty dean prepared according to the assigned form.

--Certificate of University Teaching/Educational Qualification workshop

- Equivalency certificate (issued by the ministry of Higher Education and Scientific Research) if needed.

-Documented scientific production (published research)

-Registration in the national data base for researchers.

- Filling out the form assigned for workshops held by the Studies, Consultation & Community Service Center

-C.V approved by the concerned head of department and Faculty dean, statement of appointment at university, and statement of confirmation in the academic rank (if needed).

-Any documents or paperwork requested according to rules and instruction not mentioned above. (This includes all documents).

Seniority Documents

-12 distinguished research papers published in journals or periodicals while being in the academic at the Hashemite university. The applicant must be a single or main author in 8 of them.

-A report from the Human Resources Unit indicating that the applicant has received no penalties throughout his academic career.

-The recommendation of the department council with the memo signed by all attendees of the meeting added to the report of the department’s committee in charge of the seniority request (prepared according to the assigned form).

- The recommendation of the faculty council with the memo signed by all attendees of the meeting added to the report of the faculty’s committee in charge of the seniority request (prepared according to the assigned form).

-Instructions of teaching faculty regarding quotas of attendance and voting depending on academic ranks must be taken into consideration in the recommendations of both department and faculty councils.

-The assigned form of seniority/promotion filled out and signed by the applicant according to formal procedures and supported by the required documents and paperwork.

- A list of published research presented for obtaining seniority with information about published works and journals  (as in a reference list).

- A list of the journals prepared according to the assigned form with full information about indexing databases (Thomson Reuters, Scopus, Ulrich).

- A list of the research papers presented for previous academic seniority/promotion if the applicant is applying for full professorship seniority.

-Six copies of the approved research papers with a list of the published research and copies of the applicant’s C.V both in English and Arabic added to each one of them.

-A statement by the dean, the head of the department and the applicant asserting that the scientific production (published research) is extracted neither from the applicant’s MA nor Ph. D theses.

Documents for Transferring from One Category to Another Within the Same Academic Rank:

-The transfer form filled out and signed by the applicant according to official procedures and supported by the required documents and paperwork.

 

 

With the following documents and identification papers duly filled and signed:

  • Department Board recommendation with the report of the committee that has reviewed the application using the certified form
  • The Faculty Board recommendation with the report of the committee that has reviewed the application using the certified form
  • The recommendations of the department board and the Faculty board will take into consideration the instructions of the faculty with regard to the quorum required for attendance and voting according to academic rank.
  • A list of the research papers presented for transfer; the list includes all the information about the published papers and those accepted for publication and the journals as listed in a bibliography
  • A list of scientific journals following the certified form in addition to sufficient information about the journals from the institutions issuing the classification (Ulrich, Scopus, Thomson Reuters)
  • A certification from the dean, head of department, and the faculty member (the applicant) that his or her scientific product is not taken from the MA thesis or the Ph.D. dissertation.
  • An original copy of the journals published in or otherwise an excuse for not doing so should be presented.
  • A summary of facts for the applicant duly prepared.
  • Student evaluation for each course taught by the applicant in the last three years.
  • The applicant’s annual report of achievement using the form designed for this purpose.
  • The joint report of the dean of the faculty and the head of the department using the form designed for this purpose.
  • The certificate of the educational qualification course (University Teaching)
  • University degree equivalency from the Ministry of Higher Education and Scientific Research
  • The documentation of the scientific research
  • Registering in the National Database for Researchers
  • The form of the sessions of the Center of Studies, Consultations and Community Service duly filled.
  • The applicant’s CV certified by the head of the department and the dean of the faculty.
  • The applicant’s appointment decision and the confirm of appointment decision.

Documents Required for permanent appointment at the University

  • The placement of the Department Board as well as the minutes of the meeting signed by all the attending members.
  • The placement of the faculty board as well as the minutes of the meeting signed by all the attending members.
  • The placements of Department Board and the Faculty Board must take into consideration the instructions of the Faculty with regard to the quorum required for attendance and voting according to academic rank and being permanent staff.
  • The special form designed for this purpose sent through the administrative hierarchy with all the documents and identification papers including:
    • A report from the Human Resources Department that shows whether the applicant has fulfilled all the condition for permanent appointment.
    • The joint report prepared by the dean and the department head.
    • The appointment decision and the promotion decision.
    • The documentation of scientific research
    • Registering in the National Database for Researchers
    • The form of the sessions of the Center of Studies, Consultations and Community Service duly filled.

The documents required for unpaid leave:

  • The recommendation of the Department Board as well as the minutes of the meeting signed by all the attending members.
  • The recommendation of the faculty board as well as the minutes of the meeting signed by all the attending members.
  • The recommendations of Department Board and the Faculty Board must take into consideration the instructions of the Faculty with regard to the quorum required for attendance and voting according to academic rank and being permanent staff.
  • A written request by the applicant sent through the department and faculty’s administration with all the documents and identification papers.
  • A list of all faculty members in the department with their teaching loads.
  • A list of all students with scholarships, the dates of expected return, and the allocation of the teaching loads.
  • A list of the faculty members who are on sabbatical leave or those who are with unpaid leave providing that the percentage does not exceed 20 %.
  • Naming the place of the leave and presenting the consent of the institution hosting the professor.
  • Duly filling out the form designed for this purpose.
  • Duly filling out the differentiation form of all the applicants.
  • The documentation of scientific research
  • Registering in the National Database for Researchers

The documents required for emergency leave for one semester only:

  • The recommendation of the Department Board as well as the minutes of the meeting signed by all the attending members.
  • The recommendation of the faculty board as well as the minutes of the meeting signed by all the attending members.
  • The recommendations of Department Board and the Faculty Board must take into consideration the instructions of the Faculty with regard to the quorum required for attendance and voting according to the academic rank.
  • A written request by the applicant sent through the administrative hierarchy
  • A list of all faculty members in the department with their teaching loads.
  • The appointment decision
  • The documentation of scientific research
  • Registering in the National Database of Researchers

 

The documents required for Sabbatical Leave:

  • The recommendation of the Department Board as well as the minutes of the meeting signed by all the attending members.
  • The recommendation of the faculty board as well as the minutes of the meeting signed by all the attending members.
  • The recommendations of Department Board and the Faculty Board must take into consideration the instructions of the Faculty with regard to the quorum required for attendance and voting according to academic rank and being permanent staff.
  • The scientific research proposal that the applicant will work on during his or her sabbatical.
  • The consent decision of the scientific research board on the proposal of the applicant.
  • A written request by the applicant sent through the administrative hierarchy with all the documents and identification papers.
  • A list of all faculty members in the department with their teaching loads.
  • A list of all students with scholarships, the dates of expected return, and the allocation of the teaching loads.
  • A report showing the distribution of the teaching load of the applicant.
  • A list of the faculty members who are on sabbatical leave or those who are with unpaid leave providing that the percentage does not exceed 20 %.
  • Naming the place of the leave and presenting the consent of the institution hosting the professor.
  • Duly filling out the form designed for this purpose.
  • Duly filling out the differentiation form of all the applicants.

A cover letter from the concerned head of department

- A letter from Human Resources Department stating that there is no objection to redeem the foreclosure.
- A debt insurance bond against immovable funds (from the Department of Lands and Survey)

 

The documents required to promote the research and teaching assistant faculty member:
- the department council's recommendation and the form signed by all the members attending the meeting.
- College council recommendation and the form signed by all members attending the meeting.
Annual performance reports (at a rate of two reports per year) and achievement reports.
- A written request from the applicant for promotion or transfer through the administrative hierarchy.
* Adding to the above requirements all the documents specified by instructions and foundations for procedures.

  Research and teaching assistants and full-time lecturers


Documents required for a resignation
- the department council's recommendation and the form signed by all the members attending the meeting.
- College Board recommendation and the form signed by all members attending the meeting

  Noting that the resignation be accepted after eight weeks from the date of its submission.
- A written request from the applicant to resign through the administrative hierarchy, stating the reasons for the resignation.
A list of the names and teaching loads of the teaching personnel.

Acceptance letter from the university where the applicant will pursue his or her education

- Passing the TOEFL exam with the minimum average required for admission to the university where he or she is accepted.
- A written request according to the prescribed form, signed and supported with the necessary documents and papers.
- The approved information (data) form for all applicants, filled out with the required information

   And their qualifications according to the established principles and criteria.
- The approved preference form for all applicants for scholarships and their qualifications, filled with information

   Required according to the principles and criteria specified with an explanation of the reason for choosing the candidate and nothing else.
- A list of the names of the teaching staff in the field to which they will be added, and their teaching positions.
A list of the names of the department’s scholarships of the same major and the expected date of their return.
The scholarship request is filled out by the applicant with the required information and signed by him or her through the administrative hierarchy, supported with scientific certificates, documents and other necessary supporting papers.
